Certified payroll from Square Payroll: the pay run export, multiple rates, and what to add

Square Payroll exports a CSV per pay run and pays a team member at several rates when timecards carry jobs. It has no WH-347. Here is what to export, how the columns land on the form, and where the classification and fringe come from.

The short answer

Square Payroll does not produce a WH-347. Each pay run exports to CSV (Actions, then Export to CSV) with hours, rates, gross, taxes and deductions per team member, and when timecards carry jobs a person's hours import at each rate they worked. Import the pay run CSV, or the Shifts timecard export for hours by day, and add the classification and the fringe when you review.

What Square Payroll gives you

  • A CSV export of each pay run with wages and taxes per team member.
  • Multiple pay rates per team member through jobs on Square Shifts timecards; hours come into payroll at each job's rate.
  • A timecard export from Shifts with hours by job and by day, which is closer to what the form wants than the pay run summary.

What the WH-347 still needs

  • Determination-worded classifications, the wage determination number, and the fringe columns.
  • Consistent rows per job in the pay run export: some team members with several jobs export on one row, others on several.
  • The Statement of Compliance, apprentices, payroll numbering.

The export: Pay run export (or the Shifts timecard export)

  1. Payroll, then the pay run for the week. Actions, then Export to CSV.
  2. For hours by day and job: Shifts, then Timecards, filter the week, Export.
  3. Import whichever has what you need; the timecard export carries the days, the pay run export carries the deductions.

How each column lands on the form

The import matches columns by meaning, so the exact header can vary. It asks about anything it is unsure of before it fills the grid.

Rates and classifications

Give the crew one job per classification in Square, named as the determination names it, and have them clock into the right job. Timecards then carry hours by job and the payroll pays each at its rate.

Fringe

Cash in lieu of fringe is a separate pay rate or an additional pay item per hour; plan contributions are recorded against the plan in CertifiedHours.

Every week

  1. Run payroll in Square Payroll as usual, with the workweek ending on the day your contract's payroll week ends.
  2. Export the pay run CSV for that pay period as a CSV.
  3. Open the week in CertifiedHours and choose Import hours from CSV. The columns are matched by meaning; check the two or three it asks about.
  4. Read the grid once against the export: trades, hours, rates, the fringe line. Fix anything the checks flag.
  5. File. The WH-347 and the signed Statement of Compliance print, and the prime gets the PDF by email if the job is set to send.

Questions people ask

Does Square Payroll do certified payroll?
No. It exports pay runs and timecards as CSV; the WH-347, the determination check and the statement are built elsewhere.
Why do some people export on one row and others on several?
Square's labor exports split a team member's jobs onto separate rows inconsistently. The import merges rows for the same name and keeps a line per job title, so both shapes land right; check the trade on each line.
